Terms and Conditions
1. Introduction
We, Party Weekenders Ltd (‘Party Weekenders’), organise a range of activity holidays in the UK and abroad (the ‘Event’) in a variety of hotels, venues or holiday camps, as specified per Event (the ‘Accommodation’).
2. The Contract
The Event is normally booked/signed by one person who is then the ‘Party Leader’ and who may book and manage bookings at the Event on behalf of other persons (the ‘Party Members’).
To make a booking for an Event, you must be at least 18 years of age and be able to create a legally binding contract. Your contract with us is concluded when:
- Your payment of the deposit (or in the case of a late booking, the full payment) has been received by us in cleared funds; and
- Party Weekenders sends you written confirmation of the booking by e-mail and/or by post.
At the point at which you are sent written/electronic confirmation of the booking from us (‘Confirmation of Booking’), your reservation will be accepted, and the contract between Party Weekenders will become binding. If you receive this confirmation by e-mail first, this is when the contract is formed.
Except as otherwise set out herein, the contract lasts until you and your party (if any) leave the Event.
Insurance Requirement: It is essential that all customers obtain comprehensive travel insurance, including coverage for cancellations, medical emergencies, and disruptions.
3. Amendments to Your Booking
If when you receive your Confirmation of Booking your details are incorrect, or you need to make an amendment, please promptly send an e-mail to info@partyweekenders.com.
Booking Transfers: If a party member is unable to attend, they may transfer their booking to another person. The new attendee must meet all requirements of the event and provide any necessary documentation. A £25 administration fee will apply for each transfer request.
4. Your Reservation & Payments
- The full balance for the Event must be paid 28 days before the start of the Event or by the given deadline communicated by Party Weekenders.
- A £10 per week late fee will be charged per room for payments exceeding the deadline.
- If full payment is not received by the deadline, the booking will be considered cancelled, and all previous payments will be forfeited.
Payment Plans: Party Weekenders offers installment options for select events. These must be arranged in advance, and all installments must be paid on time. If an installment deadline is missed, a late payment charge of £10 per week will apply.
5. Children
The minimum age of attendance at any Party Weekenders Event is 18.
6. Pricing & Fees
- Prices are inclusive of VAT at 20%.
- Prices listed on our website and promotional materials may be subject to correction. If a correction affects your booking, you will be informed and given an option to cancel within seven days.
7. Cancellation & Refunds
- Deposits, day passes, party tickets, and coach bookings are non-refundable and non-transferable.
- Cancellations made 29 days or more before the event will incur a 50% charge of any instalments paid.
- Cancellations made 28 days or less before the event will incur a 100% charge.
- For non-UK events, cancellations made 56 days or more before the event will incur a 50% charge; cancellations made 55 days or less before the event will incur a 100% charge.
Force Majeure: Party Weekenders is not liable for cancellations or changes due to unforeseen circumstances such as pandemics, extreme weather, or political unrest. In such cases, we will offer credit or an alternative booking where possible.
8. Changes by Party Weekenders
- Party Weekenders reserves the right to make alterations to event facilities, activities, entertainment, and amenities.
- If significant changes occur, Party Weekenders will notify you and provide options for rebooking or cancellation with a full refund.
9. Check-in & Check-out Policy
- Check-in times vary by accommodation. Please refer to your booking confirmation for details.
- Check-out must be completed by the stated time to avoid additional charges.
10. Room Allocation & Requests
- Room allocations are based on availability. Specific requests (e.g., sea view, twin beds) must be made at the time of booking and are subject to availability.
- In cases of overbooking, alternative accommodations of equal or greater value will be provided.
11. Event Photography & Media Use
- By attending, you consent to Party Weekenders using photos and videos taken during the event for marketing purposes.
- If you wish to opt out, you must inform Party Weekenders in writing before the event.
12. Behaviour Policy
- Attendees are expected to conduct themselves responsibly.
- Disruptive behaviour, property damage, or refusal to follow event rules may result in removal from the event without a refund.
13. Dispute Resolution
- In the event of a dispute, customers may submit complaints via email to info@partyweekenders.com.
- In the event of any dispute in respect of the Accommodation please ensure that you bring this to the attention of the management of the Accommodation prior to your departure and also promptly inform Party Weekenders in writing.
Complaints
Party Weekenders are only able to take action on any complaints which are first brought to the attention of Party Weekenders whilst at the Event and later received in writing within 28 days after the end of the Event, unless there are exceptional circumstances.
14. Health & Safety
- Party Weekenders adheres to all health and safety protocols relevant to the destination country.
- Customers are responsible for complying with any vaccination or health declaration requirements.
15. Data Protection & Privacy
- Party Weekenders complies with GDPR regulations.
- Customer data is collected and stored securely and is only used for booking and marketing purposes with consent.
16. Local Laws & Customs
- Customers should familiarise themselves with local laws and customs of the destination to ensure compliance and avoid legal issues.
17. Accessibility & Special Assistance
- If you require special assistance, please notify Party Weekenders at the time of booking to ensure appropriate arrangements are made.
